Job Description: IT Asset Management Administrator
CGI Federal, a wholly owned subsidiary of CGI, has an opening in Cleveland, OH for an IT Asset Administrator. This role will oversee the IT asset inventory, which includes purchasing, monitoring, and recording software licenses and/or hardware assets, and will assist in forming actionable strategies to optimize and implement the tools necessary to ensure that all IT inventory is documented accurately.
Specific responsibilities:
- Maintain asset records and databases containing information regarding licenses, warranties, service and maintenance agreements and other IT vendor contracts; ensure all software and hardware identification information is entered into an ITAM repository and is current, accurate and auditable; investigate and resolve exceptions and inaccuracy issues
- Responsible for acquiring quotes (based on specs provided by IT management) and review for accuracy and submitting same via purchasing system and following up to ensure timely receipt
- Track receipt of assets and software licenses
- Compare warranties, maintenance agreements, and vendor contracts and assist with asset upkeep, upgrades, repair, replacement and disposal; address any gaps in software licensing and hardware support agreements
- Conduct and report software asset reconciliation and audit activities on a timely basis, including financial, licensing, warranties, and maintenance/support contract information; minimize liabilities related to unlicensed software within enterprise and develop processes to prevent recurrence
- Follow asset management policies and procedures, addressing all aspects of software usage to ensure full compliance
- Recommend and implement solutions and best practices to improve productivity, reduce costs and reduce risk of software license audit penalties; explore opportunities for maximizing or exploiting unused or partially used IT assets to achieve full utilization; identify opportunities for volume purchasing to obtain price breaks
- Perform and record ad hoc audits on inventory usage of all IT assets and make recommendations on future procurements; ensure tools provide device/user/products and proofs of purchase linkage and storage of EULAs, SPLAs and contracts
- Effectively communicate asset management strategies to IT leadership and stakeholders on a timely and recurring schedule; generate, distribute, and review relevant asset management reports
- Support and maintain the asset repository and discovery functionality and help to ensure alignment with processes, workflows and modifications to accurately track hardware and software contracts
Required Qualifications:
- Solid knowledge of inventory asset tracking systems, asset methodologies and life cycles, network scanning tools and ability to learn new technology; strong understanding and technical competence with asset management software and inventory tracking systems
- Proven track record of delivering timely and accurate information in a fast-paced environment
- Excellent critical thinking, problem solving and sound judgment resolving issues in a complex environment
- Ability to interface with management and build strong relationship with teams inside and outside IT, such as Finance, Legal and Supplier Management
- Excellent organizational capabilities, attention to detail and strong time management skills
- Strong knowledge of Microsoft Office products
- Excellent communication skills (both written and oral) with the ability to communicate effectively at all levels of the organization
- Highly motivated and results oriented
- Experience interpreting licensing terms and conditions, licensing knowledge and product use rights for defined software titles, along with contract analysis and negotiation skills
