Job Description: PMO Project Coordinator

The Administrative/Project Coordinator is an essential member of the team because we are a small local project. You will perform a wide variety of tasks each day, ranging from routine, to large and complex. You will have to make effective choices as to the priority of each task, while ensuring that each task is completed in a timely and accurate manner. While some of your responsibilities will be daily' (for example: coordinating meetings), many occur only a few times a week, or even less often (for example: project plan updates). These more infrequent responsibilities will nonetheless require continual tracking' on your part.
Responsibilities:
- As the person responsible for quality assurance/document output (proofreading/formatting, duplicating, collating, binding), you will be the quality assurance checkpoint'; responsible for ensuring that all documents and products are accurate and professionally compiled. Many documents have time-sensitive deadlines. You will be responsible for ensuring that they are produced according to all requirements and delivered timely
- Creation of reports and high quality presentations utilizing Excel and PowerPoint
- Advanced office software

Powerpoint, Word, Excel, Outlook, Visio, Project
- Time Management: Must be able to plan and prioritize assigned activities in order to achieve tasks in a timely manner. Must be able to meet tight deadlines in a fast-paced environment and to handle multiple assignments, projects, and responsibilities simultaneously producing accurate, timely results
- You will need to be able to establish and maintain effective working relationships with client and project team members
- Communicate company procedural changes or policies and provide recommended implementation practices to best serve local project team
- Be able to work independently with little direct supervision
- Quality: Interest in and ability for contributing to high quality standards
- Document management: Store, organize, retrieve, and share documents utilizing Sharepoint/Ensemble
- Tracking and helping drive completion of key deliverables and following up on outstanding items
- Coordination of domestic travel arrangements and processing expenses
- Updating team organizational charts
- Other administrative projects as needed; larger group initiatives, including moves, space planning, etc.
- Perhaps most importantly, you will be a key player on a small team. Your conduct and demeanor, even under pressure, must be pleasant and efficient.
- Finally, you will have every opportunity and be expected to identify and implement improvements in methods and systems, as well as the services we provide

Skills Needed for Success:
- 3-5 years of administrative/project management support
- Highly organized, acute awareness of deadlines
- Proficiency in Microsoft Office, specifically PowerPoint, Word and Excel
- Ability to adapt and accept difficult situations and tasks and perform with the utmost professionalism
- Ability to handle confidential information with discretion, and deal with professionals inside and outside the company
- Ability to multi-task (on any given day, you will "touch" 15 to 20 different tasks)
- Extraordinary attention to detail and a self-starter
- Ability to manage most situations in a calm, steady, "can-do" manner; demonstrate self-confidence; resourcefulness and tenaciousness
- Ability and willingness to learn new software tools and applications
